Information We Collect
- Account & Profile Data: Name, email, dashboard notes (including any QuickBooks credentials entered in notes).
- Appointment Data: Uploaded QuickBooks files, appointment dates, times, duration, status, and related metadata.
- Payment & License Transaction Data: Stripe payment IDs, amounts, transaction status, license issuance metadata.
- Service Provider Data: Bookkeeper name, email, hourly/markup rates, availability schedules, referral codes.
- Logs & Infrastructure Data: AWS Cognito sign-in logs, API Gateway/Lambda request logs, CloudWatch logs.
- Analytics & Cookies: GA4 event data, Google Ads tracking cookies, session identifiers.
Use of Information
We use the collected information to:
- Provide, maintain, and operate the Service and Core Features (scheduling, file uploads, license delivery).
- Process payments and manage license issuance through Stripe and our reseller.
- Send transactional emails (confirmations, reminders) and, with your consent, marketing communications via AWS SES.
- Improve our Service, develop new features, and personalize your experience.
- Conduct analytics, reporting, and business intelligence to support financial reporting and platform performance.
- Ensure security, prevent fraud, and comply with legal obligations.
- Facilitate referral and affiliate programs and calculate commission payouts.
Third-Party Links
Our Service may contain links to third-party websites or resources. This Privacy Policy does not apply to those sites—please review their privacy policies separately.
Sharing Your Information
- AWS Services: User data stored in DynamoDB, S3, Cognito; logs in CloudWatch for service operation.
- Stripe: Payment and transaction data for processing charges.
- KEYSEMPIRE LLC: Customer name, email, and purchase details for license fulfillment and activation support.
- Google Analytics & Ads: Anonymized event and cookie data for analytics and ad targeting; no hashed customer lists are shared.
We do not sell your personal information under any circumstances.
Data Retention
We retain your data as follows, unless you request deletion:
- Account & Profile Data: Indefinitely, until you request deletion; then removed per Terms of Use.
- Appointment Records & Uploaded Files: S3 lifecycle: Day 0 upload, Day 30 → Standard-IA, Day 90 → Glacier Instant Retrieval, noncurrent versions purged after ~7 years.
- Payment & License Transaction Records: Indefinitely, for tax and audit needs; anonymized if identifiers removed.
- Service Provider Data: Indefinitely for reporting.
- Logs & Infrastructure Data: CloudWatch retention default 1 day (extendable for troubleshooting).
- Analytics & Cookies: Retained under Google’s platform settings.

You can manage your cookie and analytics preferences via the Consent link in the footer, which opens the preferences modal.
We do not recognize or respond to “Do Not Track” (DNT) browser signals.
Security
We implement industry-standard security measures, including TLS encryption in transit (HTTPS), encryption at rest, presigned URLs for file uploads, access controls with AWS Cognito, and regular security reviews. However, no system is completely secure, and we cannot guarantee absolute security.
Children’s Privacy
Our Service is intended for individuals aged 18 and older. We do not knowingly collect personal information from anyone under 18. If we learn we have collected data from a minor, we will promptly delete that information.
Your Rights
California residents and other U.S. users may exercise the following rights:
- Right to Know: Request information on the categories and sources of personal data collected.
- Right to Access: Obtain a copy of your personal data in our possession.
- Right to Delete: Request deletion of your personal data, subject to exceptions.

- Right to Opt-Out: Opt out of any sale of personal data (we do not sell personal data).
- Right to Non-Discrimination: We will not discriminate against you for exercising these rights.
